Rycombe Practice Management is a fully featured Microsoft Windows application and has all of the features that you would expect from a modern piece of software, including:

* Diary

The appointment book offers everything that you need from a clinic diary system. Obviously you can create and manage appointments, but the way that the user interface is organised means that you can find the information that you want very quickly.

Appointments can be viewed in a number of different ways. It is possible to see a practitioner’s appointments a day at a time or a week at a time, and it is also possible to see all of the appointments in the clinic, a day at a time, showing all of the practitioners and all of their appointments.

New patients and existing patients are displayed differently so that they can be easily differentiated. A marker is applied when a patient arrives in the clinic, so it is easy to see who has missed an appointment. Payments can be made at the touch of a button. The diary can even be printed out onto paper if a practitioner doesn’t want to have a computer in the treatment room.

In addition, receipts can be printed for a patient at the touch of a button, and it is a simple matter to book a number of appointments for a patient in advance and then print out an appointment card.

* Client Details

From this screen it is possible to review all of the information relating to a client.

Client records hold the contact details for a client along with clinical notes, a full appointment history, and the patient’s payment history. Screenshots are provided. It is possible to edit the client’s contact details and to record and manage payments from here. Receipts and invoices can be printed.

Standard letters can be generated and either printed or sent using email.

* Video

Rycombe Practice Management can interface with third-party digital video equipment (DV camcorders and interface cards). This allows you to record moving images of a patient's condition and use these when explaining your diagnosis from the comfort of your desk. You can show your patient his injury rather than simply explain it.

Video can also be a powerful tool if used over a number of visits, as it can be used to chart the improvement of a condition, or to remind you of previous problems. Although X-Rays are obviously still required, this has the advantage that it can be used repeatedly without worrying about excessive exposure to potentially harmful radiation.

Video sequences are stored along with the client's details so that they can be retrieved directly from the client details screen. If required, the patient can be supplied with copies of the videos stored on CD-Rom if he either wants his own copy, or is uneasy with them being stored on a clinic database.

* Sale of goods

Practice Management can record the sale of goods both from within the appointment dialogue and separately using the "sale" button from the toolbar

* Cashbook

The cashbook allows an administrator to keep track of transactions that occur during the day, such as payments received, cash float, banking of cash, paying of bills, etc. The cashbook can be exported and viewed as a spreadsheet.

* Search

The search screen allows you to find client details based on any aspect of the contact details of a client.

* Management and financial information

Reports are provided to enable you to both make the bookkeeping process easier and also to analyse the way your business is performing, both financially and in terms of patient care. Among the reports included, are the following:

  • Appointments
  • Takings
  • Debts
  • Cashbook analysis
  • Sale of Goods

Most of the reports can be exported as spreadsheets.

* Standard Letters

Rycombe Practice Management comes with its own easy to use form letter generator, to allow you to quickly and easily generate reminders, GP letters, appointment cards, etc. using templates written by you and stored in the system. Once you have written the letter once, you can use it again and again, and it will be automatically tailored to individual patients.

In addition, there is a bulk mailing feature where letters can be generated for more than one patient. It is possible to mail all patients with an appointment on a given day, or all patients that have not attended for a given period (in the last ninety days, for instance), or all patients with a history of neck problems, for example.

Standard letters can be edited, saved, printed, or sent via email.
